Position Summary:

The Office Assistant is responsible for greeting and directing visitors, vendors, clients, and customers to appropriate locations and parties. Notifies personnel of visitor arrival. The Office Assistant will also perform routine clerical, secretarial and administrative work in answering telephones, providing customer assistance, data processing, and record-keeping and office maintenance.

Essential Functions:

The essential functions include, but are not limited to the following:

  • Coordinate and schedule phone screens and interviews for the HR Manager
  • Update weekly recruiting and hiring statuses in the HRIS
  • Assist with company event planning and celebratory events
  • Using applicable software programs to create inventories, letters, and other business-related documents
  • Preparing shipping labels and ordering FedEx and UPS pickups and deliveries
  • Answers central telephone system and directs calls in a professional and courteous manner
  • First point of contact, in person and by telephone; responds to inquiries and refers, when necessary, to the appropriate person, official or department.
  • Maintain order in common areas such as cafeteria, office supply room, bathrooms, and conferences rooms
  • Maintains office supply inventory.
  • Managing and ordering of kitchen supplies.
  • Assist with coordinating businesses lunches and other related duties.

Minimum Qualifications (Knowledge, Skills and Abilities)

  • 2 years of reception experience (or equivalent customer related ability)
  • Prior administrative office management experience
  • Proficient in Microsoft Office, specifically Excel, Word, and PowerPoint
  • Excellent oral and written communication skills
  • Excellent customer relationship skills
  • Ethical Conduct at all times
  • Ability to take initiative to solve problems and complete task in a timely manner
  • Other duties as assigned by management

Provide support to our Logistics Department for domestic and international shipments. This will involve close collaboration with Logistics Coordinators, Sales, Accounting and Distribution. Plans and manages inbound and outbound transportation for both domestic and international customers and suppliers. This position provides key information and support regarding transportation options and inbound/outbound order status.

Essential Functions:

The essential functions include, but are not limited to the following: 

  • Coordinate outbound customer shipments from multiple distribution centers.

  • Interact with transportation providers (all modes) to obtain rate quotes, transit times, and to track/trace/expedite shipments as required to meet customer expectations.

  • Coordinate customer returns.

  • Coordinate blanket releases of raw materials and review all required documentation for international carriage.

  • Perform freight payment and audit and resolve disputed invoicing with carriers.

  • Support all claims filing by researching and gathering required information.

  • Create and edit documents such as Bills of Lading, Commercial Invoices, Packing Lists, etc.

  • File set-up and maintenance for inbound Purchase Orders.

  • Enter information and perform transactions in corporate ERP system.

  • Provide delivery status and Proof of Delivery to Accounting and Sales as required.

  • Special projects as requested by Logistics Manager and/or Logistics Coordinators.

 

Minimum Qualifications (Knowledge, Skills and Abilities):

  • Provide quality service to BIFH internal and external customers in all assigned tasks, while upholding BIFH Values at all times.
  • Good oral and written communication with strong emphasis on follow-up and organizational capability.

  • Experience with Microsoft Office and Outlook.

  • Familiarity with ERP systems preferred.

  • Experience with domestic transportation terms and procedures, including freight terms, documentation, claims filing, load planning and shipment tender.

  • Experience with international terms and procedures, including INCOTERMS, ISF filing, Commercial Invoices, customs clearance and Harmonized Tariff classification.

  • Associates degree or equivalent experience.

This will involve close collaboration with Suppliers, Customers, Transportation Providers, Sales, Accounting and Distribution. Plans and manages inbound and outbound transportation for both domestic and international customers and suppliers. Creates and manages purchase orders for outside suppliers. Assists in executing production planning and coordinating activities with contract manufacturers and co-packers. Completes all ERP transaction related to manufacturing and converting. This position provides key information and support regarding transportation options and inbound/outbound order status.

Essential Functions:

The essential functions include, but are not limited to the following:

  • Prepare and monitor contracts in conjunction with the sales team; Coordinate the development and implementation of contract administration plans and provide on-going oversight of contract performance and issue corrective actions when needed.
  • Facilitate timely and accurate account /orders management for various customers, via direct communication with the customers, vendors, and sales team.
  • Build strong customer relationships while supporting sales personnel in identifying customer practices and needs to resolve issues and identify process improvements. Proactively seek to understand the needs of the customers and provide the highest standards of service.
  • Monitor and track all pending orders, including entering, troubleshooting, and communicating information about scheduling, cancellations, and inactive orders.
  • Mitigate customer complaints, provide appropriate solutions and alternatives within time limits; provide follow up to ensure optimal resolution.
  • Review contracts and orders for completeness and accuracy. Acquire needed information and/or approvals prior to releasing order for shipment (i.e.: pricing discrepancies, sample and quality requirements, approval to ship close-dated cases, etc.).
  • Collaborate with Sales on contract releases and generate shipment releases & labeling, send to the supplier
  • Communicate with overseas suppliers and Shared Services Team
  • Review and approve sailing schedule, draft labels, draft commercial invoices, draft B/L, and coordinate bookings
  • File set-up and maintaining of related files and update shipment release and backlog in ERP
  • Gather ISF data to submit to Shared Services
  • Determine whether substitutions / date changes are required for order fulfillment based upon projected shortages as compared to planned production / scheduled transfers/aging inventory.
  • Manage and organize documentation requirements and compliance mandates per customer and government regulations, including IFS data.
  • Responsible for meticulous and detailed record keeping for auditing and reporting purposes.
  • Perform daily activities of the invoicing and billing functions. Assists in the tracking and necessary follow-up action for life of invoice.
  • Provide A/R with invoice management assistance to resolve short/over payments and claims; communicate issue, root cause and resolution to internal and external customers in a timely manner.
  • Manage returns, damage claims and complaints; communicate cause and resolution to affected/responsible business partners, assign action items to appropriate personnel and ensure approval is obtained.
  • Participate in team initiatives to further continuous improvement.
  • Occasional special projects as requested / Other duties as assigned by management.

We are looking for a detail-oriented individual to join our QA and R&D team as a Data Entry Specialist. The essential functions include, but are not limited to the following:

  • Receiving documents from suppliers and uploading them to our web portal.

  • Communicating with suppliers and customers to provide documents.

  • Logging in samples, tracking samples, and shipping samples. The ideal candidate will work closely with the sales team to ensure that all samples are accounted for and shipped promptly.

  • Performing light quality tasks such as weighing products, packing samples.

  • Working as a team player on other ongoing projects in the department.
